Your Trade Show Countdown: A Timeline for a Stress-Free Show

A great trade show booth doesn’t happen by accident. The exhibitors who stand out are usually the ones who planned early, stayed organized, and left room to enjoy the show. If you’re not sure when to do what, we’ve broken it down into a simple countdown. Whether it’s your first show or your fifteenth, this timeline will help you arrive ready. And if you’d like a partner along the way, our convention and trade show team is always happy to help.

8 Weeks Out: Set Your Goals and Read the Fine Print

Start by deciding what success looks like. Are you collecting leads, launching a product, or building brand awareness? Your goal shapes everything from booth layout to what you give away.

Then read your Exhibitor Kit from cover to cover. It tells you what’s included with your booth package, what the venue provides, and where to order power, internet, and other services. Knowing what you already have keeps you from ordering what you don’t need and missing what you do.

6 Weeks Out: Design a Booth That Tells Your Story

With your goals set, give your booth a theme that ties into your main message, and keep it simple enough to understand at a glance. Then think about the details that set the mood. Lighting can pull attention to your displays, and the right décor and accessories can add polish and personality to your space.

Next, think about how people will move through your space. Attendees who linger are the ones who become leads, so give them a reason to stay. A lounge area invites a real conversation, a charging station draws people in, and an interactive game adds energy. Your Total Events Specialist can help you fit it all into your footprint, and the Trade Show Pre-Consult Form is an easy way to start.

4 Weeks Out: Place Your Orders

Last-minute orders are available on site, but they’re first-come, first-served, and substitutions may be needed if your pick is gone. Ordering early gets you exactly what you planned, and it’s one less thing to think about on show day. Browse your options and place your order on our Exhibitor Orders page, or check the Tradeshow & Exhibitor FAQ if you have questions first.

3 Weeks Out: Start the Buzz

Don’t wait until you arrive to introduce yourself. Use the pre-show email list and your social channels to tease what you’ll have at your booth, whether that’s a giveaway, a game, or a product demo. Attendees who already know what to expect are far more likely to stop by.

2 Weeks Out: Plan Your Shipping

Many venues won’t accept deliveries and require someone from your company to be on hand to receive them. With our Drayage services, you can ship directly to Total Events. We deliver your materials to your booth and coordinate the return with your shipper after the show.

A few tips to keep your packages on track:

  • Label every box with the show name, exhibitor name, and booth number. We work on multiple shows at once, and so do many venues.

  • Call a few days before the show to confirm everything has arrived at our warehouse.

  • Have pre-paid, printed return labels ready for a timely return.

Show Week: Set Up Your Lead Capture

Decide how you’ll collect contact information before the doors open, whether that’s a request box, a simple form, or an iPad sign-up. The goal is to reach the people who actually engaged with you, not everyone who walked the floor.

Then take one last walk through your booth to confirm your orders, your staffing schedule, and your giveaways. A few extra minutes of prep here pays off all weekend.

After the Show: Follow Up Fast

The relationship doesn’t end when the doors close. Reach out within days, while the conversation is still fresh. Mention something specific from your chat, and make the next step easy, whether that’s a call, a demo, or a quote.
